How to choose a condolence message
The best condolence messages are not the most eloquent. They are the ones that sound like you and fit the relationship. The filters above sort 300+ condolence messages by who died, who you are to the person grieving, the tone you want and where you plan to send it. A few rules guide the rest.
- Match your closeness. A close friend can write “I love you.” A coworker or neighbor is better with “I'm thinking of you and your family.” Warm and respectful always works.
- Match where it's going. A text is one to three sentences. A card can be a little longer and quieter. A public post should say nothing private, and never the cause of death.
- Match their faith, not just yours. If you aren't sure, choose non-religious, or a gentle “I'm praying for you.” Save Scripture and liturgical lines for families you know would welcome them.
- Add one true detail. “Your mom's laugh,” “your dad's handwriting on every birthday card.” One detail turns a template into a message.
- Sign it by hand. If you send a card, write a line yourself even if the rest is printed.
Write your own condolence message in three sentences
If you'd rather write it yourself, use this shape. It works for a text, a card or an email.
- Say you're sorry, and name who died. “I was so sorry to hear about your father.”
- Say one true thing. “He always stopped to talk, even when he was in a hurry.” If you didn't know him, say what you do know: “I know how much you loved him.”
- Offer something, and let them off the hook. “I'm thinking of you. Don't worry about replying. I'll check in next week.”
Put together: “I was so sorry to hear about your father. He always stopped to talk, even when he was in a hurry. I'm thinking of you, and I'll check in next week. No need to reply.”
How long should a condolence message be?
| Where | Length | Notes |
|---|---|---|
| Text message | 1–3 sentences | Say they don't need to reply. Offer one specific thing. |
| Sympathy card | 2–5 sentences | Handwrite it. See sympathy card messages for sign-offs and short lines. |
| 3–6 sentences | Good for coworkers and distant relatives. Use a plain subject line like “Thinking of you.” | |
| Social post or comment | 1–2 sentences | Public. No private memories, no cause of death, no tags without asking. |
What not to say in a condolence message
Most of these are said out of love. They tend to land as a way of hurrying someone through the grief. Here's what to say instead. For more, read what to say when someone dies.
Skip
She's in a better place.
It assumes what the person believes and can sound like the pain should be over.
Try instead
I'm so sorry. She was so loved, and she'll be missed.
Skip
At least he lived a long life.
No number of years is enough. "At least" makes the loss sound smaller than it is.
Try instead
I'm so glad you had him for so long, and I know it still hurts.
Skip
I know exactly how you feel.
Even if you've lost someone, you haven't lost this person in this way.
Try instead
I can't imagine how much this hurts. Tell me anything you want to.
Skip
Let me know if you need anything.
It puts the work back on the person with the least energy to give.
Try instead
I'm dropping dinner at your door Thursday. No need to answer.
Skip
Everything happens for a reason.
It sounds like a verdict, and the reason is usually the one thing they can't see.
Try instead
I don't understand why this happened. I'm so sorry.
Skip
You need to be strong for your family.
It tells someone how to grieve and where to put the feeling.
Try instead
You don't have to be strong with me.
Help that goes beyond the message
A message is a start. What people remember is who showed up in the weeks after the funeral, when the cards stop arriving. A few ways to keep helping:
- Put a reminder in your calendar for two weeks, two months, the birthday and the anniversary. A short text on those days means a lot.
- Bring a meal in a container they never need to return, with the reheating instructions taped to the lid.
- Offer to do one specific chore: the yard, the dishes, airport pickups, the thank-you card list.
- Go to the visitation or service if you can. Even five minutes in the line is a gift.
- If the family is planning a service, help with the paperwork. A ready-made funeral program template saves them an evening.
- Pray with them if they would welcome it. Our prayers by need are labeled by tradition.

Common questions
What is a good condolence message?
A good condolence message is short, sincere and about them, not you. It says you are sorry, shows you know who died ("your mom" rather than "your loss"), and offers something small and real, such as a call next week or a meal on Thursday. "I'm so sorry about your mom. I'm thinking of you and I'll bring dinner Thursday" does all three.
What do I write when I don't know what to say?
Say so, kindly: "I don't have the right words, but I'm here and I'm thinking of you." Honest and warm beats polished. Then add one concrete offer. You don't have to explain, comfort or make sense of the death.
What is the difference between condolences and sympathy?
Condolences are an expression of sympathy specifically after a death. Sympathy is broader and also covers illness or other hardship. On a card, "with deepest sympathy" and "my condolences" mean the same thing and are both fine.
How do I send condolences to a coworker or my boss?
Keep it warm and brief: "I was so sorry to hear about your father. Thinking of you and your family. Please don't worry about work." Use the Coworker or Boss filter above. If you are the manager, say plainly that they can take the time they need and who is covering for them.
Is it okay to send condolences by text?
Yes. A text is often the first and most welcome contact because it asks nothing of the person. Keep it to one to three sentences, say they don't need to reply, and follow with a card for something they can keep.
Should I mention how the person died?
Not unless the family has already said it openly. Questions about the cause can feel like an interrogation. If you know the circumstances, you don't need to name them: "I'm so sorry" covers everything.
Can I copy and paste a condolence message?
Yes. That's what these are for. Change the pronouns or add one true detail, such as "your dad's laugh" or "your mom's garden", and it becomes yours. Hand-signing a card makes even a standard message personal.
What religious condolence messages are safe to use?
If you aren't sure of the family's faith, "I'm praying for you" or "You're in my thoughts and prayers" is usually welcome. Use Scripture or tradition-specific wording (like "Eternal rest grant unto them, O Lord") only when you know the family would welcome it. Use the Faith filter to see both kinds.
